HubSpot
Editor’s pickCRM platform with a free core and paid Sales, Marketing and Service hubs that share one contact database.
Overview
HubSpot is a CRM platform built around one shared contact database, with paid Sales, Marketing and Service hubs layered on top of a free core. The free tier is a genuine CRM rather than a trial: contacts, deals, pipelines, forms and live chat, with no time limit.
Who it is for
HubSpot suits a small business that wants a CRM it will not have to replace, and that expects to run marketing and support from the same contact record eventually. It is also the safest choice when the people using it are not salespeople by training — the interface is the most approachable in the category, and adoption is where most CRM projects fail.
It is the wrong choice if you are certain you only need a sales pipeline and nothing else, because you will pay for a platform and use a tenth of it.
What it does well
The shared contact database is the point. A marketing email, a support conversation and a deal all attach to the same record, so nobody has to reconcile three systems. Email sync with Gmail and Outlook, meeting scheduling, quotes, lead scoring and workflow automation are present, and the integration list covers the tools a small business already uses — Google Workspace, Microsoft 365, Slack, Shopify, Stripe, Zoom.
Where it costs you
The pricing cliff is the thing to understand before you commit. The free tools cost nothing, Sales Hub Starter is $20 per seat per month, and then Professional jumps to $100 per seat — a five-fold step. Most of the features people eventually want (sequences at scale, custom reporting, advanced automation) sit above that line. Teams routinely start free, grow into Starter, and then face a bill that is five times what they budgeted.
Customisation is the other limit: the data model is opinionated, and organisations that need to reshape objects and workflows heavily will find it constraining.
How it compares
Pipedrive is the direct alternative for a team that wants a sales pipeline and nothing more, and it will be cheaper and simpler. Zoho CRM offers more configurability for less money, at the cost of interface polish. Salesforce is the comparison to make only if you have an administrator; it out-customises HubSpot and demands far more setup.

Best for
A good fit if you are
- Small businesses that want a free CRM they can grow into
- Teams that plan to run marketing, sales and support from one platform
- Companies that value a polished interface over deep customization
Not ideal if you
- Budget-conscious teams that will need Professional-tier features
- Organizations needing heavy customization of data models and workflows
Verdict
HubSpot is the right default for a small business that wants one system for sales, marketing and support and values adoption over configurability. Start on the free tier, which is a real CRM rather than a trial, and only pay when a specific limit blocks you.
Price the Professional tier before you build a process on Starter. The step from $20 to $100 per seat is where teams get caught, and if the features you need live above that line, Zoho CRM or Pipedrive will do the job for less.
Before you commit
Questions worth answering for your own situation. Nothing here is a fault of the product.
- Work out which features you need and which tier they sit on; the step from Starter to Professional is five times the per-seat price
- Count only the seats that need paid access — the free tools stay free for the rest of the company
- Check that your reporting needs are met below Professional, since custom reporting is a common reason teams are forced up a tier
- Confirm the data model fits your sales process; HubSpot is opinionated and heavy customisation is not its strength
- If you will never use marketing or support features, price a sales-only CRM against it before committing
