Overview

Todoist is a task manager built around quick capture: type 'pay rent every 1st at 9am' and it parses the date, recurrence and time automatically. Tasks are grouped into projects with sections, sub-tasks, priorities and labels, and can be viewed as lists, boards or a calendar. It runs on virtually every platform, including Linux, browsers and wearables, and syncs quickly between them, which is a large part of its appeal to individuals and small teams.

The Free (Beginner) plan covers 5 personal projects and basic collaboration, enough for casual use. Pro costs $5 per month ($4 billed annually) and unlocks 300 projects, reminders, the calendar layout, more filters, unlimited activity history and the AI assistant. Business is $8 per user per month ($6 annually) and adds a shared team workspace with team projects, roles and admin controls.

Two-way Google Calendar sync and add-ins for Gmail, Outlook, Slack and Microsoft Teams are first-party. What Todoist deliberately does not do is full project management: there are no Gantt charts, time tracking or dashboards, so teams needing those usually pair it with another tool or outgrow it.
